Overview

The ELCC & CFS Programs Assistant provides comprehensive administrative support to MMFN’s Education, Early Learning and Child Care (ELCC), and Child and Family Services (CFS) programs.

The position is responsible for the day-to-day organization and processing of program documentation, including forms, applications, registrations, child and student records, correspondence, reports, filing, tracking, and other administrative requirements. It also provides administrative and logistical support for program activities, events, student services, and family programs.

This full-time position in the CFS Department reports to the CFS Manager and works 63 hours biweekly.

Location

Mowachaht/Muchalaht First Nation territory, Gold River, BC, on the beautiful west coast of Vancouver Island.

Duties and Responsibilities

ELCC & Preschool Support

  • Process and maintain child intake, registration, enrolment, and related documentation.
  • Assist families with completing required forms and paperwork.
  • Maintain accurate, organized, and up-to-date child files.
  • Track outstanding forms, documentation, and registration requirements.
  • Assist with referrals and related follow-up as required.

K–12 Education Support

  • Provide administrative support to the K–12 education program.
  • Prepare and process report cards, school allowances, student records, forms, and other education-related documentation.
  • Maintain accurate and confidential student files.
  • Assist with documentation and tracking related to tutoring, school supplies, cultural trips, and other student supports.
  • Provide additional administrative support during busy periods and reporting deadlines.

Records & Document Management

  • Prepare, format, edit, scan, organize, and file program documents.
  • Maintain electronic and physical filing systems for child, student, family, and program records.
  • Ensure forms, records, and documentation are complete, current, and properly filed.
  • Assist with reports, spreadsheets, presentations, correspondence, and other program documentation.
  • Maintain confidentiality of personal, student, child, and family information.

Program & Event Support

  • Provide administrative and logistical support for workshops, learning sessions, cultural activities, events, and community programs.
  • Arrange supplies, catering, venues, transportation, accommodations, and other logistical requirements.
  • Order office and program supplies as required.
  • Book hotel accommodations for staff and members attending MMFN events and activities.
  • Assist with scheduling and preparation of materials for meetings and program activities.

Communications & General Support

  • Draft and format internal memos, letters, newsletters, notices, social media content, and other communications as directed by the CFS Manager.
  • Assist with preparing information and materials for families, students, staff, and community members.
  • Provide a professional and welcoming point of contact for program-related inquiries.
  • Perform other related duties as assigned by the CFS Manager.

Minimum Qualifications (Education / Training / Certifications)

  • A bachelor’s degree (four years of higher education completed) in Education, Social Services, Community Services, or a related field from a Canadian or US university is required. A master’s degree in one of these fields is highly preferred.
  • Two years of experience providing administrative, program, or office support, preferably within education, childcare, family services, or a community-based organization.

Knowledge, Skills and Abilities

  • Experience working with confidential records, forms, and personal information.
  • Strong organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and electronic filing systems.

Other

  • Police (RCMP) record check less than three months old.
  • Valid driver’s licence and access to your own vehicle.
